Project Coordinator

GEM Service, part of the Rudolph Libbe Group, specializes in commercial and industrial HVAC and mechanical services, including HVAC and plumbing, testing/balancing, electrical, ductwork cleaning, facility management, energy procurement, and building automation controls. GEM Service is seeking an organized and driven Project Coordinator to support our commercial and industrial HVAC service projects in Central Ohio. This role ensures service projects sold by our HVAC Service Sales Team are delivered efficiently, safely, and, on schedule.


JOB RESPONSIBILITIES  

• Coordinate all aspects of commercial and industrial HVAC service projects.
  • Review project scope, technical details, and specifications with HVAC Service Sales.
  • Schedule activities with customers, subcontractors, and skilled trades.
  • Procure HVAC equipment, parts, and materials.
  • Process permits, contracts, and subcontract documentation.
  • Monitor scope and determine when change orders are needed.
  • Assign appropriate HVAC technicians through service management/dispatch.
  • Track project progress and financial performance.
  • Schedule pre-project review meetings and walk-throughs.
  • Manage project closeout and billing coordination. 


Requirements

SKILLS 

  •  Strong customer service and problem-solving mindset.
  • Excellent organizational skills; ability to manage multiple HVAC service projects.
  • Team-oriented with strong communication skills.
  • Motivated, detail-focused, and responsive


EDUCATION/EXPERIENCE 

 • High school diploma required, technical school or college preferred.
  • Minimum 5 years of experience in HVAC service-related field.
  • Knowledge of project management principles and financial tracking.
  • Proficiency with Microsoft Office preferred.
