Senior Administrative Liaison
Hours: Full-Time 35 Hours Work Location: 30-30 Thomson Avenue, LIC, NY 11101The NYC Department of Design and Construction, Division of Infrastructure, is seeking a Senior Administrative Liaison to join the Office of Administrative Services.Under the supervision of the Division Administrative Officer (DAO), this role will be responsible for the Personnel/Recruitments Portfolio for the Divisions Construction Management Unit and will serve as the Division's Staff Development Liaison.Key Responsibilities:Personnel/Recruitments PortfolioResponsible for coordinating the majority of recruitment activities of assigned Job Openings (JO) and other personnel-related activities. This includes: - Updating and monitoring workflow in SmartRecruiters- Addressing and maintaining constant communications with interview teams, reviewing applicants resumes, vetting applicants civil service qualifications, and scheduling interviews.- Drafting Hiring Packets for the DAO review and the Deputy Commissioner approval.- Maintain tracking logs (Recruitment, Vacancies, PARs, etc.).- Support job fairs and hiring pools by preparing forms, escorting candidates, and submitting completed hiring packets.- Maintain electronic personnel files.- Train and assist supervisors in the use of ePerformance (DCAS's Performance Evaluation and Goals and Objective tracking system) and in the use of SmartRecruiters, the Enterprise-grade AI hiring platform designed for HR and recruiting talent.- Prepare and track Employee Status Change Forms (ESCF) using the ESCF Tracker.Staff Developments Portfolio- Identify and prioritize staff training needs (e.g., OSHA, Confined Spaces, Excavation, ACI, EEO).- Collaborate with HRSDs Senior Training Coordinators to monitor field/safety training compliance and maintenance.- Review, obtain approval, and submit training applications (Non-Computer Training Course Application (NCTCA), DCAS CTC Application, Computer Training Course Application (CTCA), etc.) for accuracy and prompt processing.- Submit finalized training rosters and identification documents.- Promote professional development opportunities and maintain training logs.Additional Duties- Coordinate administrative functions in the DAO's absence, such as employee relocation, workstation assignments, and drafting correspondence.Please note: All candidates must be currently authorized to work full-time in the United States (U.S.). Requirements
1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or 2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or 3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above. Experienced (non-manager)
